Q: How big is your office?

A: We are a local independent agency with a small small sales team of 5 but we list and sell more then any other agency in our area which is serviced by over 20 other competing real estate offices.

Q: How important is your contact database?

A: Our database is critical to our business, we use the contacts manager to prospect and win listings and then complete the transaction through the sales process and then use it to continue tracking our relationships with past and current clients. The task trails are crucial for follow-up meaning no one or nothing is missed, whether it be following up after appraisals, anniversaries of sales, or prospecting.

Q: Winning listings? Please explain?

A: We win listings from other competing agents by explaining to prospects how we use our TouchpointsManager software to match and alert our buyers to their property. We demonstrate our success rate on listing a property and selling it. We have many examples of how our database has sold properties within days (even one to Scott Schindler from renet) some even after being listed with other agents. It's also crucial for recording our contacts with buyers so we know where they are up to at all stages.

Q: Would you still be a successful agent without your Touchpoints Manager?

A: Absolutely, but with it we work smarter not harder, we have a database that is very mature and our Touchpoints Manager is very powerful, but we still go to work, we still talk to people, we still prospect, we do open homes, door knock, etc, but every person we talk to is data based so our database works for us.

Q: Can you recall your first success story from your Touchpoints Manager?

A: within a month of us opening 10 years ago, we listed a property, the database manager took over, auto emailed to the correct buyers in our system, and with 24 hours, we had a purchaser, who was on holidays in Europe reply, they travelled home and purchased within the week.

Q: What was a recent success story from your Touchpoints Manager?

A: literally too many to mention, we are now selling about 35% of our listings, for full price or better directly to the data base.

Q: What do clients think of your Touchpoints Manager, do they appreciate it?

A: absolutely, and I believe the main reason is, although its auto generated, they feel it is personal, it all comes out to them under the name of the agent they are dealing with. Little things do mean a lot, and buyers appreciate the "personal touch" of the service.

Q: What is the number 1 "must do" for you and your office and data basing?

A: Simple, record everything, in this age, information is the new currency.

Q: What advice would you give other small offices to help them win listings and complete the sale?

A: results and case studies, show potential vendors the outstanding results your database gives you and your clients. Also track your potential vendors through the system, keep them up to date with market trends. Be the expert in your area.
